1.Why this policy exists
People come to Neuro Recode when they are dealing with anxiety, stress and emotional struggles. What you share with us is personal, and in many cases it is something you have not told anyone else. We treat that trust seriously.
This policy explains, in plain language, what information we collect, why we need it, who can see it, how long we keep it, and what control you have over it. It applies to everything run by Neuro Recode Private Limited ("Neuro Recode", "we", "us" or "our"), including:
- neurorecode.in and all its sub-domains (including learn.neurorecode.in)
- our workshops, programs, one-on-one and group sessions
- calls, WhatsApp messages and emails between you and our team
- consultation bookings, forms and payments
- our CRM and authorised internal business systems
We handle personal data in accordance with applicable Indian law, including the Information Technology Act, 2000 and applicable rules concerning sensitive personal data and reasonable security practices. We also comply with applicable provisions of the Digital Personal Data Protection Act, 2023 and the Digital Personal Data Protection Rules, 2025 as and when those provisions apply to our activities.
2.The short version
If you only have a moment, here are the points we want you to walk away with. Each one is explained in more detail further down this page.
- We collect only what we reasonably need to support you and run our programs.
- Your sessions are recorded. You will be informed about recording and appropriate consent will be obtained where required.
- Recordings and transcripts are restricted to authorised personnel based on role and business need.
- We never sell or rent your personal data.
- We will not publicly use your recordings, story, image, voice or identity in ads, testimonials or publications without appropriate permission.
- You can ask us to access, correct or delete your data where applicable, withdraw consent, or stop marketing messages.
- Our standard services are only for adults aged 18 and above.
3.Information we collect
a) Details you give us when you sign up, book or pay
Name, phone number, WhatsApp number, email address, city, age or age confirmation, occupation, preferred language, and the program or workshop you choose.
b) Wellness information you share with us
To understand your situation and guide you appropriately, we may ask you to complete an intake form or assessment. This can include symptoms or concerns you choose to share, your history with anxiety or stress, medication information you voluntarily provide, past support you have received, and your goals. We treat this as highly sensitive information.
c) Session recordings and transcripts
Sessions are recorded as described in Section 5.
d) Sales and support call records
Details of calls with our team, including the date, time, duration, call recordings, notes made by our team member and your enquiry status (see Section 6).
e) Payment information
Payments are processed by providers such as Razorpay. We receive order details, amount, transaction reference and payment status. We do not see or store your full card credentials, UPI PIN or bank login details.
f) Messages
The content of WhatsApp messages, emails, website forms and other communications you exchange with us.
g) Website and advertising data
When you visit our pages, we may collect technical information such as IP address, browser, device type, pages viewed and actions taken (for example, completing a purchase). This may be collected through Meta Pixel, Meta Conversions API and similar authorised technologies (see Section 8).
h) Consent and preference records
We may maintain records of the consent you provided, the date and source of consent, communication preferences, opt-outs and consent withdrawals.
4.Why we use your information
| Purpose | Information used |
|---|---|
| Registering you for workshops and programs, and delivering sessions | Contact details, program details |
| Understanding your needs and personalising guidance | Wellness information, session records, recordings and transcripts where applicable |
| Processing payments, issuing invoices and meeting tax and accounting requirements | Payment and order details |
| Answering your enquiries and following up on bookings | Contact details, call and message records |
| Reviewing call and session quality, and training authorised team members | Call recordings, session recordings and transcripts |
| Sending reminders, updates and offers about our programs | Contact details and communication preferences |
| Inviting you to share a review of your experience | Name, email and relevant program details |
| Measuring and improving our advertising | Website and advertising data |
| Protecting someone's safety, preventing fraud, securing our systems and complying with law | Only what is reasonably necessary for that purpose |
Where consent is required, we seek consent appropriate to the activity concerned. Registering, booking, paying or submitting a form does not automatically provide consent for unrelated purposes such as public testimonials, promotional use or other optional processing.
You can withdraw consent for applicable future processing by contacting us. Withdrawing consent does not affect processing that lawfully occurred before withdrawal. However, we may be unable to continue providing a service that depends on the relevant data.
5.Session recordings and transcripts
Because sessions are where you may share the most personal information, we apply specific rules to recordings and transcripts.
- Recording: Neuro Recode sessions are recorded as part of program continuity, quality review and internal operational processes. You will be informed before your first recorded session, and appropriate consent will be obtained where required.
- Storage: Recordings are stored using access-controlled systems and approved technology providers.
- Transcription: Recordings may be converted into written transcripts using Sarvam AI, a speech-to-text service, and authorised internal conversation-analysis systems.
- AI-assisted processing: Authorised AI tools may be used for transcription, summaries, internal documentation and quality analysis. They are not intended to independently diagnose a mental-health condition, prescribe medication or replace a qualified healthcare professional.
- Access: Internal access to recordings and transcripts is restricted according to role, authorisation and business need. Sales team members do not have routine access to private session recordings or transcripts.
- Use: Recordings and transcripts may be used to support your progress, maintain the quality of our sessions, provide authorised supervision and train relevant team members internally. Where reasonably practical, identifying details are minimised when material is used for broader internal training.
- Never public without permission: We will not use your recording, transcript, voice, face, name, photograph or personal story in any advertisement, testimonial, social-media post, e-book, case study or other public material without appropriate permission. You may withdraw permission for future use, subject to material already lawfully published and applicable legal limitations.
6.Sales and support calls
Calls with our sales, consultation or support team may be made through Callyzer or another authorised call-management system and may be recorded. Where a call is recorded, you will be appropriately informed. Call recordings and notes may be used to follow up on your enquiry, manage bookings, support customers, resolve complaints, check call quality, train authorised team members and prevent fraud.
7.WhatsApp and email communication
We may contact you by WhatsApp, email, telephone or SMS about your bookings, sessions, payments and program updates. With appropriate consent where required, we may also send information about new workshops, events and offers.
To stop marketing messages, reply "STOP" where supported, use the unsubscribe link in an email where available, or write to us at support@neurorecode.in. We may still send essential service communications about programs you have already purchased.
8.Cookies, Meta Pixel and advertising
Our funnel pages and website may use cookies and related technologies, including Meta Pixel and Meta Conversions API, to understand which ads bring people to our programs, measure conversions and improve advertising.
These tools may record page visits and purchase or registration events linked to your browser or device and, in some cases, a securely hashed version of your email address or phone number.
We do not intentionally send your wellness information, intake form answers, medication information, private session content, session notes or transcripts to Meta or any advertising platform for advertising purposes.
Where appropriate, visitors may be provided options to manage non-essential cookies. You can also manage advertising preferences through the relevant platform and browser settings.
9.Who we share information with
We never sell or rent your personal data.
We share information only with approved service providers that help us operate our programs and business. Each provider should receive only the information reasonably necessary for its task.
Our customer management system (CRM) is self-hosted on servers located in India and managed by us.
We may also disclose information:
- when required by applicable law, a valid court order or a lawful government request
- where reasonably necessary to prevent fraud or protect security
- to protect the life or safety of you or another person (see Section 12)
- if Neuro Recode is lawfully merged, acquired or restructured, subject to applicable privacy obligations
10.Where your data is stored
We store our core business records using systems located in India. Some service providers listed above may process or store information outside India as part of their global infrastructure. Where this happens, we will take reasonable measures consistent with applicable Indian law, contractual safeguards and applicable restrictions on cross-border processing.
11.How long we keep your data
We keep data only as long as reasonably necessary for the purpose for which it was collected, or as long as applicable law requires.
| Type of data | How long we keep it |
|---|---|
| Enquiries and leads who did not join a program | Up to 2 years from our last meaningful interaction |
| Client records and intake information | For the duration of your program and up to 3 years after it ends |
| Session recordings and transcripts | Up to 3 years after your program ends |
| Sales and support call recordings | Up to 1 year from the date of the call |
| Payment, invoice and tax records | For the period required under applicable financial and tax law |
| Marketing consent and opt-out records | As reasonably necessary to maintain communication preferences |
| Website and advertising data | According to applicable provider and business retention settings |
When a retention period ends, we delete, anonymise or remove information that identifies you, unless we are legally required or reasonably entitled to retain part of it. Deletion from active systems may not immediately remove information from secure backups; backup data will remain protected until it is deleted or overwritten under our backup-retention process.
12.When we may share information to protect safety
What you share in sessions is treated confidentially, subject to lawful and necessary exceptions.
If you tell us something that suggests a serious and immediate risk to your life or physical safety, or to someone else's life or physical safety, we may encourage and help you to reach appropriate support. Where legally permitted or required, we may share limited information with emergency services, an appropriate medical professional, relevant authorities or an emergency contact identified by you. We aim to share only what is reasonably necessary for the safety purpose.
13.Your rights and how to use them
Subject to applicable law and the circumstances of your request, you may contact us to:
- Access: ask what personal data we maintain about you and how it is used
- Correct: have inaccurate or incomplete data corrected or updated
- Delete: request deletion where legally permissible
- Withdraw consent: stop applicable future processing that was based on your consent
- Opt out of marketing: stop promotional WhatsApp messages, emails or other marketing communications
- Raise a concern: contact us about how your personal data is handled
- Exercise other privacy rights that become available under applicable Indian data-protection law
How to make a request: Email support@neurorecode.in with the subject "Privacy Request", including your name and the phone number or email you used with us. We may ask you to confirm your identity before acting on a request in order to protect your data from unauthorised access.
We will acknowledge and handle legitimate requests within a reasonable period and within any timeframe required by applicable law. Where a statutory complaint mechanism is available to you under applicable law, you may also use that mechanism after first raising the matter with us where required.
14.Who can use our services
Neuro Recode's standard services are intended only for adults aged 18 and above. We do not knowingly intend to collect sensitive wellness information from people under 18 through our standard adult programs. If we become aware that such information has been collected improperly, we will take appropriate steps to restrict, delete or otherwise handle it in accordance with applicable law.
15.The nature of our services
Neuro Recode provides structured, non-clinical mental wellness training, coaching, education and personal-development support. We are not a hospital or medical establishment, and our programs are not intended to replace diagnosis, emergency care, psychiatric treatment, prescribed medication or treatment by a qualified doctor, psychiatrist or other appropriately qualified healthcare professional.
We may ask about symptoms, medication or previous support only to understand your circumstances and program requirements. We do not use this information to independently prescribe medication or provide a medical diagnosis.
16.How we protect your data
We use reasonable technical and organisational safeguards appropriate to the information we process. These may include role-based access controls, restricted access to recordings and transcripts, authentication controls, secure cloud infrastructure, backups, access management, confidentiality obligations, vendor safeguards, security monitoring and incident-response procedures.
No internet-connected system can be guaranteed to be completely secure. If a personal-data or information-security breach occurs, we will investigate, contain and remediate the incident and make notifications required under applicable law.
17.Changes to this policy
We may update this policy as our services, technology, service providers or the law change. The "Last Updated" date at the top will show the current version. Where a material change significantly affects how previously collected personal information will be used, additional notice or consent may be obtained where required.
